The chain it is built around

Most of that description is a feature list. One part of it is a promise — that the recurring work happens whether or not anybody remembers it — and that is the part built end to end first.

The work schedules itself

An asset at a site carries a service interval, and the job falls due without anybody asking it to. Nobody has to keep a spreadsheet of what is nearly overdue, which is the spreadsheet that is always out of date.

A visit, given to an engineer

The due job becomes a scheduled visit belonging to a named engineer, so the question "who is going" has an answer that is not a phone call.

A checklist on a phone

Configurable, and completed on site rather than written up afterwards. One platform configured per contract — not a different application per trade.

Air conditioning is a configuration, not a separate product

So are boilers, electrical and fire. A discipline is a checklist template and a set of due dates, which means adding one is configuration rather than another application to build, host and keep in step. We say this plainly because the obvious assumption is the opposite one — that an air-conditioning service business needs air-conditioning software.

Evidence captured against the visit

Photographs and a signature, attached to the visit they were taken on. The evidence is the record, not an email somebody sent later.

The F-gas record, kept as the work is done

Each unit's gas and charge, with the GWP your company enters and the source it relied on; the CO₂e worked out from those figures; a leak check logged by the engineer on the visit; and an operator's F-gas record to print, with the last check and when the next is due. It is a record you keep — it certifies nothing, and the operator's F-gas duties stay with the operator.

When the job closes, the asset's next due date moves. That is the loop closing — the reason the recurring work does not need remembering.

Built for a signal that comes and goes

A plant room, a basement, a rural site. The engineer's phone is going to lose signal, and the software has to be honest about what that means.

Nothing is quietly discarded

Work captured offline is queued, and the queue's refusals say what is being held and why. An engineer is never told something was saved when it was not, and never told it was lost when it is still waiting.

A job will not close on missing evidence

A job cannot close while a step its checklist marks required is missing: the phone will not save the checklist without it, and the server refuses the close as well, naming the step. A missing signature, or a capture the server refused, holds the close too, and the engineer is told which one and in their own terms — "arriving on site", not a queue identifier. Two problems are counted as two, not as the first one.

Where it is now

Live, as a private pilot: accounts are set up on approval, one company at a time. Ask us and we will set you up.

The whole chain runs on the live service

The office adds a customer, a site and an asset and raises a call-out; it is scheduled to an engineer, who arrives, completes the checklist, takes a photograph and captures the customer's signature on a phone; the work reaches the office, the visit is issued as a service certificate carrying the readings and the signature, it prints to PDF, and the asset's next due date moves on.

Held where the data is

One company cannot see another's work; what each role may do is enforced in the database, not only on the screen; a visit will not close without its evidence; and captured evidence cannot afterwards be altered or deleted — not by the engineer, not by an administrator, not by the owner.

If this is the work you run

Accounts are set up on approval. Tell us what you maintain, how the recurring work is tracked now, and what happens when an engineer has no signal — and we will tell you honestly whether this is going to fit.
